JOB DESCRIPTION

As a Compensation & Benefits (C&B) Specialist at NSC Software, you will be responsible for the end-to-end operation of payroll, benefits administration, compliance, and supporting the development of compensation systems aligned with the ITO business model (billable, utilization, project-based).

This role acts as a key position to ensure accuracy, confidentiality, compliance, and cost optimization across all C&B operations.

KEY RESPONSIBILITIES

Payroll & Benefits Administration

  • Process monthly payroll, ensuring accuracy, timeliness, and confidentiality.
  • Collect and reconcile data with project teams (billable/utilization performance) to accurately calculate project bonuses, overtime, and other related payments.
  • Manage and administer employee benefit programs including health insurance, annual health checkups, allowances (lunch, parking, etc.), and internal engagement activities.
  • Respond to employee inquiries regarding salary, bonuses, and benefits.

Insurance & Tax Compliance

  • Handle Social Insurance (SI), Health Insurance (HI), and Unemployment Insurance (UI) procedures including employee registration/deregistration, book finalization, and benefit claims (sick leave, maternity leave, etc.).
  • Prepare and submit Personal Income Tax (PIT) declarations and conduct annual PIT finalization for employees.
  • Stay updated with the latest labor laws, tax regulations, and insurance policies to ensure company compliance.

Expat Management

  • Manage legal procedures for foreign employees including Work Permits, Visa, and Temporary Residence Cards (TRC).
  • Conduct Reference Checks and Background Checks (both domestic and international) for expatriate candidates.
  • Verify the authenticity of academic qualifications, previous employment records, and police clearance certificates to support legal documentation and comply with ITO project security standards.
  • Handle expatriate payroll calculations, including gross/net conversions and PIT finalization, in accordance with regulations for resident and non-resident taxpayers.
  • Support expatriates with matters related to labor contracts, benefits, and cultural integration while working in Vietnam.

Compensation System Development & Reporting

Collaborate and support HR initiatives by providing data and insights for key activities, including:

  • Developing salary frameworks, salary bands, and job grading structures.
  • Conducting IT industry salary benchmarking.
  • Designing and operating performance-based bonus schemes, including:
    • Project bonus
    • Utilization-based bonus
    • Performance bonus
  • Supporting the implementation and improvement of the 3P Compensation Model (Position – Person – Performance).
  • Standardizing policies, guidelines, and procedures related to C&B operations.

Prepare regular HR reports on:

  • Payroll costs
  • Budget allocation
  • Employee turnover rates

JOB REQUIREMENTS

Experience

  • Minimum 2 years of hands-on experience in Compensation & Benefits.
  • Direct experience managing payroll for 100 – 300+ employees.
  • Practical experience handling Work Permit, TRC procedures, PIT, and background checks for expatriates.
  • Experience working in technology or software outsourcing (ITO) companies with project-based compensation models is highly preferred.

Knowledge & Skills

  • Strong knowledge of Vietnamese Labor Law, Social Insurance Law, and Personal Income Tax regulations.
  • English proficiency: Ability to read professional documents and communicate via email with foreign employees and background verification partners.
  • Advanced Excel skills: Proficient in complex data processing functions such as VLOOKUP, INDEX/MATCH, IFS, Pivot Tables, etc.
  • Detail-oriented, strong numerical sensitivity, logical thinking, and a high level of confidentiality and integrity when handling sensitive data.
